Credit Controller (Part-Time)

We are currently seeking to recruit a part-time Credit Controller, who will be reporting to the Accounts Manager.  

Primary objective of role:

To ensure that the firm’s rendered bills are paid promptly, thus improving the firm’s cash flow, profitability and debtor days.  This is a part-time role taking responsibility for the credit control function.

 Primary duties and responsibilities:

  • Monitor all debtor accounts regularly, highlighting outstanding costs and disbursements.
  • Work electronically in the firm’s practice management system ensuring concise detail of the credit control process is up to date and always available.
  • Liaise regularly on a 1 to 1 basis with partners of all levels of seniority to:
    • confirm amounts outstanding, identifying problematic matters;
    • obtain explanations for delay in settlement; and
    • where appropriate, agree a strategy for recovery.
  • Send out monthly statements of account and standard 30, 45 and 60-day debt chasing letters.
  • Maintain the bill book and review for daily credit control requirements.
  • Where appropriate (and with the partner’s agreement), make direct contact with clients with a view to securing immediate and total payment or regular instalment contributions.
  • Monitor accounts where an instalment arrangement has been agreed and update appropriate records.
  • Prepare regular reports for the Accounts Manager on the costs outstanding to the firm and on the measures being taken to secure payments or instalments on aged matters.
  • Input into aged debt recovery through external agents and preparing files for sending to these agents.
  • Work with the Revenue Controller to ensure residual client account balances are dealt with in line with the firm’s policy.
  • Undertake ad hoc accounting transactions including client account receipts and office account electronic payments, petty cash requests, payment of expenses, informing partners of monies received and identifying the correct files to which it should be posted.

Person specification:

  • Methodical, focussed and organised approach to work.
  • A responsible, co-operative attitude and ability to work in a team environment.
  • Possesses the ability to complete set objectives within the agreed deadlines.
  • Have devised and developed processes for effective and efficient credit control in previous/current role(s).

Skill requirements:

  • Experience/knowledge of the firm’s accounting system (Liberate SE) or a similar legal market accounting package.
  • Good interpersonal skills, especially relationship building, and assertive and confident.
  • Accurate filing/administration/record keeping.
  • PC literacy, including use of case management systems and particularly MS Excel.
  • Understands and can apply the Solicitors Accounts Rules
